1. Persistent change to the default "Last 90 Days" to another choice for the user profile

   In the forms tab, the default filter applied is "Last 90 Days." Some of our users would like to have their chosen choice be the default for every time they log into GoFormz.

2. Allow bulk "take ownership", and "complete"

   Be able to check boxes within list of forms and use the "bulk actions" menu to either take ownership or complete.

3. Distinction Between Draft and Open Forms

   GoFormz really needs to make a distinction between drafts, open, and completed forms.

   Right now, there are only draft forms and completed forms. This has caused me to run into a lot of walls while developing templates/workflows and managing our extensive forms.

   I propose that forms should have 3 distinct statuses:

   • Draft - A draft is a form that has been created, but has not yet been submitted by its creator. Drafts are simply forms where the creator has started up the form, used the "Save" feature to come back later, but hasn't actually submitted the form yet.

   • Open - Open forms have been submitted, but haven't yet been completed. This status is EXTREMELY useful form any template/workflow that uses an approval workflow. The submitter submits their draft, and it becomes an "open" form due to the transfer step (or a change status step) in the workflow. It's not complete yet, because it's been transferred to another user for review, but it is no longer a draft either. It's waiting for action, and is an important part of our form history.

   • Complete - Completed forms are ones that have been submitted and have no additional action to take. This would be the default status after a form is submitted, unless the workflow transfers the form or sets the status to "open" specifically. Completed forms have no more action left to take.

   Reasons why this distinction is needed:

   • Permissions to delete drafts: I'm asked regularly by our field users if they can delete their old drafts (never submitted forms) that are hanging out and clogging up their form list. These drafts were often created when they were testing out a newly available template, training a coworker, etc. But unfortunately they become stuck with these drafts unless they request IT to delete them on their behalf. The reason for this is because the permissions to delete forms makes no distinction between the status of the forms. We don't want our field users to be able to delete anything that is complete OR that has entered the review stage (the "open" stage) of its workflow. If GoFormz made a distinction between Drafts and Open forms, and allowed us to provide permissions to delete forms of specific statuses, it would be AMAZING for both me and my end users.

   • Clarity for Users: Right now, our Manager users who review/approval many of our submitted forms, have access to "all forms" under a lot of templates. This allows them to help other Managers with their forms in case someone is out sick, and take ownership if need be. Unfortunately we've had a lot of issues with Managers mistaking forms that have not actually been submitted yet and forms that are actually waiting for their review. Because the permissions make no distinction, I can't limit their access to only forms waiting for their action, and there's no way for them to tell the difference between all of the "drafts", when some are true drafts and some are open forms waiting for action. This has led to Managers taking ownership of forms that hadn't actually been submitted yet.

   SysAdmin Maintenance Ease: I often have to filter through our massive list of forms in order to troubleshoot issues or make updated (like when a template is updated). There is no easy way for me to tell if a draft form is waiting for its creator to submit it, or if it's a form that has already been submitted and is waiting for action from a manager. I can check the history individually on the forms, but that isn't practical for the bulk maintenance I'm often performing.

   There are many additional benefits that I can think of for making a distinction between Draft and Open, such as making approval workflows easy to create (form status would actually mean something reliable that I could use for skipping steps or terminating the workflow rather than having to use form fields to create that distinction). I'm going to stop here though as this is already super long.

5. Ability to bulk change form names historically

   Most of our forms follow specific naming conventions which helps with searchability, however, our naming conventions have changed over time, and new ID fields are required for improving searchability.

   For example, we may now need to put 'Invoice Number' into the form name so we can easily search that, or for when we export as PDF and store them or send them to clients.

   Being able to re-structure the dynamically created form name such as '[InvoiceNumber] - [CustomerName] - ([Address])' and then update ALL forms that are part of that template (and by extension previous template versions) would be very useful.

6. Bulk Tagging Option

   To have the ability to add tags to a bulk number of forms all at once would be beneficial! When using GoFormz for invoices, having to tag paid forms one at a time is a real pain and could be remedied by having the option to select a bulk of forms and add a single tag to all of them at once!

7. Deep Links should be accessible from Completed Forms, not just Drafts.

   Deep Links should be accessible from Completed Forms, not just Drafts. A form is not validated for errors unless you choose Complete. If everything is good then we have to reopen the form in order to access the Deep Links to start another form submission. At the end of the day the user then has to go back into their app or the goformz web browser and change all of the entries to completed.

8. Ability to search forms based on custom field content, not just form name/title

   Currently using the web app forms search allows you to search for terms only in the form name/title, so we are forced to put specific values into the title, such as Customer ID, Sales ID, etc.

   Unfortunately there are more fields we need to search by than would fit nicely in the name of each form, such as invoice numbers, personnel ID's, etc.

   It would be great if we could search specific fields within the forms; when creating a template, you can nominate specific fields/inputs to be indexed for searching.

   The down side of this is if you have 20 templates with an 'Invoice Number' field on each of them; there's no way to know if those fields are related across templates, so you would need to index each of the 20 fields separately, and any search for any string would have to search ALL indexed fields individually.

   To solve this issue, perhaps we could have 'global' fields that are pre-defined and can be used in all forms, which have this search functionality applied by default. For example, you can create a 'Global Field' named 'Invoice Number' and assign it to 'indexed for searching'. You can then use it in ANY form template, and it assumes the exact same usage definition and functionality across ALL templates it appears in.

   This might solve the issue of having to index many different fields named 'Invoice Number' separately, and it also allows the user to search for an invoice number across completely different form templates.

9. Required Fields "Check" Action Without Completing the Form

   Context: We utilize required fields prominently in other templates. Users need to be able to have a button that mimics "Check Complete" display in template preview. Conceptually, the idea is to allow users to check that required fields are addressed prior to hitting the save/complete button.

11. Changes to a completed form highlighted

    If a completed form is re-opened and completed again, any changes that took place (fields) are highlighted. i.e. Changing my name on the form with have the next revision highlight the name field in a colour. (yellow as an example).

15. Admin rights to edit and complete forms on behalf of users

    Currently there is no way to edit any mistakes in forms picked up by admin without having to ask a user to either make the changes, or for admin to transfer the form, make the changes, and then transfer the form back to the user and ask them to complete it.

    Having this ability would really benefit admin oversite of users.

16. Table Alignment

    Alignment settings for all field types need to have the same options whether they are a standalone field, within a table, or when set using a multiline setting.

    Alignment requirements need to include left, right, center for horzontal positioning and top, center, bottom for vertical positioning.

    Currently tables do not allow a consistent appearance when using more than one field type across the page leaving the resulting document looking unprofessional.
